DUTIES OF IATSE ELECTED OFFICERS

PRESIDENT

• Presides over all meetings of the membership and of the executive board
• Shall be without a vote, except in the event of a tie
• Sees that all the officers perform their duties as prescribed by the constitution and by-laws
• Ex-officio member of all committees
• With the consent of the executive board, will use all moral and financial aid in enforcing rules, wage scales and conditions of the Local
• Aids in negotiations of contracts for the Local

VICE-PRESIDENT

• Assists the President in the duties of the administration of the Local
• Shall preside at all meetings and perform all other duties of the President when that person is absent or unable to act

BUSINESS AGENT

• Attends all meetings of the membership and the executive board, and presents a report covering their work between such meetings, including current and future productions
• Sees that the orders of the Local are carried out
• Negotiates contracts for the Local and investigates all disputes or breaches of contracts
• Reports to the Local any violations of the constitution and by-laws
• Reports to the executive board any violations of the constitution and by-laws of the Local made by members
• Provides general supervision over all members in the union working in this Local’s jurisdiction
• Is responsible for the external functions of the Local, which shall include but not be limited to: negotiation and administration of all collective agreements with employers; lobbying and promotion; and function, in a general sense, as a liaison between the theatres and the Local as an organization, and use every honourable means to broaden the jurisdiction of the Local in the entertainment field
• Maintains the members’ availability list and is responsible for job placement of all members as per collective agreements, in conjunction with the Call Steward
• Ascertains that the members are in good standing before notifying or placing them for work, and is also responsible for the requesting of pink contracts and issuance of road cards
• Examines all road cards and pink contracts held by members of the Alliance on tour in our jurisdiction
• Responsible for handling of any written grievances, complaints, and differences brought forward by members or production companies
• Notifies the membership of the rights, obligations, and conduct of their employment under the Local’s agreements
• Ensures that members from each production elect a shop steward, and that the shop steward receives the contract applicable to that production
• Not make recommendations for any individual to producers for jobs
• Endeavours to make regular visits to all contracted workplaces where members of the Local are employed
• Pursues the collection of all money withheld by employers from members not received within a reasonable time

CALL STEWARD

• Assists the Business Agent in keeping an accurate updated availability list and is responsible for job placement
• Ascertains that the members are in good standing before notifying or placing them for work
• Works under the direction and guidance of the Business Agent
• Maintains and updates the Google Doc for the membership

SECRETARY

• Attends all meetings of the membership and the executive board, and records the same in the secretary’s book
• Keeps a list of the Local’s policies (rules) for reference at all meetings
• Reads all correspondence, papers, sections of the constitution and by-laws at meetings
• Maintains a current list of each member’s name and contact information inserted in seniority order, which shows when each member was admitted to the membership in the union
• Responsible for answering all communications requiring answers and conducts all other correspondence under the instructions of the union (should important communications be received which requires an answer before a regular meeting date, they shall forward such communications to the President for their consideration)
• Responsible for notification of meetings, nominations, elections, and any other applicable vote

TREASURER

• Attends all meetings of the membership and the executive board when they discuss finances
• Keeps an accurate record of all income, disbursements, assets, and liabilities of the Local
• Receives and deposits initiation fees, dues, and any income earned in a bank account in the Local’s name
• Issues cheques drawn from our bank account for the business of the Local
• Issues annual receipts to each member at year-end for income tax purposes (that have not been directly collected by the employer and recorded on T4’s)
• Responsible for members keeping dues up-to-date and for notifying members who are in financial default (they shall send notice to members of suspension for past due payment of dues and issue a Notice of Expulsion if a member refuses to pay their indebtedness to the Local within the fixed period)
• Pays dues and/or fees to the International office (stamps, cards, etc.) and is responsible for issuing per capita stamps
• Serves as a Health and Welfare Benefit Trustee
• Balances and close the books of account of the Local at the end of each calendar year
• Provides the membership with a proposed annual budget in October, based on the previous year’s expenses and projections for the coming year

BOARD OF FINANCIAL TRUSTEES

• Examines and immediately reports in writing any irregularities discovered in the books, records, ledgers, accounts, or property of the Local to the executive board
• Ensures that the Treasurer and any other member responsible for administering any monies or property of the Local are bonded, and that the premiums are paid by the Local

EXECUTIVE BOARD

• Attends all regular, executive board and special meetings of the Local
• Consists of the President, Vice-President, Business Agent, Secretary, Immediate Past President and four members in good standing to be elected annually (4 members-at-large)
• Decides upon all matters referred to them by the membership (their decision shall be binding unless reversed by a majority of votes cast of the members present at a regular or special meeting or by the International President or designate)

The Executive Board may at any time perform an interim audit of the books and make a detailed report of their findings at the next regular meeting.

NON-ELECTED POSITION: UNION / SHOP STEWARD

The steward is the members’ link to the union.

• Available to answer any questions regarding union rules and theatre procedures
• Handles any grievance or problem between members, should they arise
• Holding an officer’s position assigns a member to the steward position or by seniority
• Acceptance of this position is not mandatory
• When a travelling Wardrobe Head is involved and no House Wardrobe Head is hired, the steward would automatically maintain the payroll
• Any problems concerning the payroll are to be addressed to the steward
• Should a member have a specific problem with the steward, they should inform the Business Agent and not the Wardrobe Head

The above duties are carried out during working hours, with no extra financial compensation provided.
